MyKoti

MyKoti Terms of Use

Version terms-2026-11-v1 · Effective from 1 November 2026

These terms are an agreement between MyKoti Co., Ltd. ("MyKoti", "we"), 1111 The City Sathorn-Kanlapaphruek, Bang Khae, Bang Khae, Bangkok 10160, and the business that uses MyKoti at app.mykoti.co ("you"). By selecting "Create workspace", you accept these terms on behalf of your business. Someone who creates an account to join a workspace they were invited to accepts these terms by selecting "Create account".

1. Who may use MyKoti

  • MyKoti is for businesses: property owners, dormitory and apartment operators, and agents.
  • You must be of legal age and use MyKoti for your own property business, or for a legal entity you are authorised to act for.
  • If you sign up for a company or other legal entity, you confirm that you can bind it to these terms.

2. Accounts and workspaces

  • Whoever creates a workspace is its first owner. Owners invite members by email as owners, admins or staff, and admins invite staff. Owners and admins change roles and remove members within the same limits. Any member can leave, but a workspace always keeps at least one owner. Each role has the permissions the app shows.
  • Members can share a single property with someone outside the workspace. That person sees a summary of that property only (such as its name, address, map pin, prices, photos and how many rooms are occupied), not tenant details.
  • You are responsible for every member you invite and for anyone outside the workspace you share a property with. What they do in your workspace counts as what you do.
  • Keep passwords secret and don't share accounts. If you think someone has used an account without permission, change the password and tell us straight away.
  • The details you give when signing up must be true and kept up to date.

3. Free 90 days and the founding pilot offer

  • Every new workspace is free for 90 days from the day you create it. No credit card is needed.
  • Our first five pilot buildings also get 50% off for 12 months. The discount starts after the free 90 days, with a written price lock.
  • Before anything costs money, we will tell you the price and the paid terms at least 30 days in advance.
  • We never charge automatically. You pay only once you have agreed to the paid terms.
  • If you don't agree, you can stop using MyKoti and ask for an export of your data under section 11.

4. Acceptable use

Don't use MyKoti to:

  • break the law, including collecting or using tenants' personal data without a lawful basis
  • send threatening, misleading or spam messages through LINE or any other channel the app provides
  • access a workspace, account or data you have no right to
  • probe for vulnerabilities, disrupt the service, or scrape it with automated tools, without our written permission
  • copy or resell the service, or let someone else use it in your place
  • upload or send viruses or other harmful code

5. Your data

  • The data you enter, such as properties, units, tenants, leases, bills and payments, belongs to you. We use it only to provide the service to you.
  • You are responsible for the accuracy of what you enter. That includes the rent, utility rates and service charges you bill, which must follow the law, such as the Contract Committee's notice on residential building rental businesses. The app helps you calculate. It does not give legal advice.
  • We may use aggregated statistics that identify no one to improve the service.
  • Price estimates and location data in the app (including the AI price estimate) are rough guides to help you decide. They are not a valuation by a licensed appraiser, and not investment advice.

6. Tenants' personal data

  • For the personal data of tenants and anyone else you record in the app, you are the data controller and MyKoti is the data processor under Thailand's Personal Data Protection Act B.E. 2562 (PDPA).
  • Your duties: have a lawful basis to collect and use the data, tell tenants that you use MyKoti (for example by pointing them to Part 2 of the privacy policy), and answer tenants' requests to exercise their rights.
  • Our duties:
    • process the data only on your instructions, which are these terms and the way you use the app
    • limit access to the people who need it, and bind them to confidentiality
    • keep the data appropriately secure
    • tell you without undue delay when we learn of a personal data breach affecting your data, so you can notify the Personal Data Protection Committee in time
    • help you answer tenants' requests as far as the app allows
    • use only the sub-processors listed in the privacy policy, and tell you before adding a new one
    • delete or return the data when the service ends, under section 11
  • The privacy policy has the details, in Part 2 (tenants whose landlord uses MyKoti) and Part 3 (app accounts).

7. Bills, receipts and payments

  • The bills and receipts the app produces are your own documents, issued in your name to your tenants.
  • They are not tax invoices, and they are not e-Tax Invoices or e-Receipts. Your tax and accounting duties stay with you.
  • MyKoti never receives, holds or transfers rent. Tenants pay you directly.
  • When you mark a payment "verified", that is your own record that you received the money. The app does not check with any bank.

8. LINE messages

  • The app sends bills, receipts and notices to tenants who have linked LINE, through MyKoti's LINE Official Account.
  • These messages are also subject to the terms and policies of LINE (LY Corporation).
  • We don't guarantee that a message reaches the tenant. They may have blocked the account or not opened it, or LINE may be down.
  • If the law requires you to give a tenant a document by a deadline, such as a bill before its due date, that duty stays with you. If a message doesn't arrive, use another channel.

9. Availability and backups

  • We aim to keep MyKoti available at all times, but we don't guarantee it will be uninterrupted. It may be down for maintenance from time to time.
  • Backups of the database are kept for up to 7 days. We don't guarantee that a backup is available, or that data can be restored in every case.
  • Print or save copies of important documents, such as bills and receipts, yourself as well.
  • While you pay nothing for MyKoti, we provide it "as is". It is still being built, features may change, and it may have bugs.

10. Limitation of liability

  • As far as the law allows, we are not liable for indirect losses, such as lost revenue or profit, or rent you could not collect.
  • Our total liability to you for anything is capped at the greater of (a) the fees you paid us in the 12 months before the claim, and (b) ฿1,000.
  • This limit doesn't apply to damage caused by our wilful misconduct or gross negligence, or anywhere else the law doesn't allow liability to be limited.

11. Suspension, termination, and your data afterwards

  • You can stop using MyKoti at any time: an owner can delete the workspace in Settings, any member who isn't a workspace's only owner can close their own account in Settings, or you can tell us on MyKoti's LINE.
  • We may suspend or end your use if you break these terms, if there is a security risk, or if the law requires it. Where reasonable, we will tell you why and give you time to fix it first.
  • We may end the whole service with at least 30 days' notice.
  • After termination:
    • the workspace owner can export the workspace's data from the app until the workspace is deleted, as a ZIP with one CSV file per kind of record (such as properties, units, people and tenants, leases, bills, payments, receipts, maintenance, listings, leads and their messages, members, and the activity log). Photo files are not included
    • when a workspace is deleted or the service ends, the workspace stays read-only for 30 days so you can export it
    • after that, we delete all of the workspace's data, within 90 days of termination, except records of acceptance of the terms and data the law requires us to keep
    • backups expire and are deleted on their own within 7 days after that
    • other retention periods, such as for LINE message records, follow the privacy policy

12. Changes to these terms

  • We may change these terms. We'll tell you in the app, by email or on LINE at least 30 days before a material change takes effect.
  • A change the law requires, or one needed for security, may take effect sooner.
  • If you don't accept a change, you can stop using MyKoti and ask for an export under section 11. If you keep using it after the change takes effect, you accept it.

13. Governing law

  • These terms are governed by Thai law.
  • The Thai courts have jurisdiction over any dispute.
  • If the Thai and English versions differ, the Thai version prevails.
